Manage Users

Managing users requires the Admin role. From the Users page, you can invite new members to your organization, update their roles, and remove users who no longer need access.

Add a new user

  1. Click the Users tab in the top navigation bar.

  2. Click the New User button in the top-right corner of the Users page.

  3. The Create User dialog opens.

  4. Enter the email address of the person you want to invite.

  5. Select the roles to assign using the toggle buttons. You can assign multiple roles at once (see role constraints below).

  6. Click Save.

The portal sends the invited user an email with the subject "You've been invited to the Optra Portal" containing an Accept Invitation button that links them to the portal.

Domain confirmation

If the invited user's email domain is different from your own, a confirmation prompt will appear before the invitation is sent. This is a soft warning — you can proceed if the address is intentional.

Invited user status

Until the invited user logs in for the first time, their name appears as "Invited User" in the users list. Their roles can still be edited during this period.

Edit a user

  1. Click the Users tab in the top navigation bar.

  2. Find the user in the list and click their name or email address.

  3. The Edit User dialog opens.

  4. Update the email address or toggle roles on or off as needed.

  5. Click Save to apply the changes.

Role assignment rules

When assigning roles, keep the following constraints in mind:

  • Admin and Chart Viewer Only are mutually exclusive. Selecting one will automatically clear the other, and any other currently selected roles.
  • All other roles (Billing Admin, Device Technician, Device Enroller, Workflow Editor, Workflow Deployer, Chart Editor) can be freely combined.

Delete a user

  1. Click the Users tab in the top navigation bar.

  2. Find the user in the list and click their name or email address to open the Edit User dialog.

  3. Click the Delete button.

  4. Confirm the deletion when prompted.

warning

Deleting a user immediately and permanently removes them from the organization. This action cannot be undone. You will need to re-invite the user if access is needed again.

Shared chart workspace access

When a user is deleted, they are also removed from any chart workspaces they had been granted access to. If those workspaces were shared with other users, those other users are not affected.
